How to check your mapped data, totals, and validation warnings before submitting to HMRC

For Everyone

Reviewing Before You Submit

What this is

The review step is your final check before sending data to HMRC. It shows you exactly what will be submitted - the mapped income and expense figures, category totals, and any validation warnings that need your attention. This is your opportunity to catch errors before they reach HMRC.

What you see on screen

The review screen shows:

  • Income summary - your total income broken down by HMRC category
  • Expense summary - your total expenses broken down by category, including any disallowable amounts
  • Net figure - the difference between income and expenses
  • Obligation details - the quarterly period this submission covers, including start date, end date, and due date
  • Validation warnings - any issues Aligned has detected with your data, displayed as inline alerts

How to review your data

Check each category

  1. Review the income categories and their totals - do the numbers match your records?
  2. Review the expense categories - are all expenses allocated to the correct HMRC category?
  3. Check for any categories showing zero that should have values, or values that look unexpectedly high or low

Fix validation errors

If the review screen shows validation warnings:

  1. Read the warning message to understand what the issue is
  2. If the data needs correcting, click Back to return to the mapping step and adjust
  3. Re-upload your spreadsheet if the underlying data is wrong

Proceed to submit

Once you are satisfied with the review:

  1. Confirm that the data is correct
  2. Click Next or Submit to proceed to the submission confirmation step

Things to know

  • Take your time reviewing. There is no time limit on the review step. Check every category carefully.
  • You can go back at any stage. If something looks wrong, use the Back button to return to the mapping step or even re-upload your file.
  • Totals are calculated from your mapped data. The figures shown are exactly what will be sent to HMRC, computed from the spreadsheet values mapped in the previous step.
  • Year-to-date figures may appear. For subsequent quarterly submissions, you may see year-to-date cumulative totals alongside the current quarter figures.

If something goes wrong

Validation warning: mismatched totals

Your spreadsheet may have rows that were not mapped or values that cancel each other out. Go back to the mapping step and check that all relevant columns are mapped.

Validation warning: negative values

Some HMRC fields do not accept negative numbers. If you see this warning, check whether the negative value is intentional. You may need to adjust how the column is mapped.

Totals look wrong compared to my records

The review step shows figures calculated from your uploaded data. If they differ from your own calculations, the issue is likely in the spreadsheet data or the column mapping. Go back and check both.

A category is missing

If an expected category does not appear, it means no column was mapped to that HMRC field. Go back to Smart Map and map the relevant column.

FAQ

Can I save my review and come back later?

The upload wizard is a single session. If you leave the page, you will need to start the upload again. Complete the review and submission in one sitting.

What happens if I submit with a validation warning?

Some warnings are informational and do not block submission. Others are errors that must be fixed before you can proceed. The interface will clearly indicate which are blocking and which are not.

Are the figures shown inclusive of previous quarters?

Depending on the income type, figures may be shown as year-to-date cumulative totals. The obligation details card on the review screen shows which period the submission covers.
