How to fill it in

  1. On the P&L Self-Employed sheet, enter your business name and choose the tax year (2025/26 or 2026/27). The tax year drives the Class 4 National Insurance estimate.

  2. Enter this year's income in the This year £ column: Turnover (takings, fees, sales) and Other business income. Add last year's figures in Last year £ if you want the Change £ column to compare them.

  3. Work down the 15 expense rows under EXPENSES (HMRC CATEGORIES), such as 'Car, van and travel expenses' and 'Accountancy, legal and other professional fees'. Include every business cost, even ones that are not allowable for tax.

  4. Net profit (or loss) calculates on its own. Under ADJUSTMENTS FOR TAX, add back disallowable expenses and enter capital allowances (including the AIA) to reach Adjusted profit for tax.

  5. Read the Class 4 National Insurance estimate. If you were already over State Pension age when the tax year started on 6 April, choose Yes for that year and no Class 4 is charged. The estimate uses the rates table at the bottom of the sheet, so check those rates each April.

This free profit and loss template is built for UK sole traders. It sets out a year’s income and expenses in HMRC’s own self-employment categories, so the totals match your tax return and your MTD quarterly updates. It then adds back disallowable costs, takes off capital allowances and estimates Class 4 National Insurance on the adjusted profit.

What is on the sheet?

The P&L Self-Employed sheet runs from top to bottom in four blocks:

  1. Income: Turnover (takings, fees, sales) and Other business income.
  2. Expenses (HMRC categories): all 15 headings from the self-employment pages of the tax return, including construction industry payments to subcontractors, business entertainment, irrecoverable debts written off, and depreciation.
  3. Adjustments for tax: disallowable expenses added back and capital allowances (including the Annual Investment Allowance) deducted, giving Adjusted profit for tax.
  4. Class 4 National Insurance estimate: the main rate and the additional rate, worked out from a rates table for the tax year you pick.

There are three columns: This year £, Last year £ and Change £, so you can see at a glance which costs moved.

Why record costs that are not allowable?

Your accounts should show what the business really spent. Entertainment, depreciation and the private share of a phone or car are genuine costs, but HMRC does not allow them against tax. Keeping them in the expense rows and adding them back in one place makes the adjustment clear to you, your accountant and HMRC.

Class 4 rates in the template

Tax year Main rate Profits band Additional rate
2024/25 to 2026/27 6% £12,570 to £50,270 2% above £50,270

No Class 4 is due for a tax year that starts after you reach State Pension age, so the sheet has a Yes or No for each year. The estimate ignores losses, Class 2 and other income, so treat it as a guide.

From profit and loss to Making Tax Digital

If your qualifying income is over £50,000, MTD for Income Tax applies from April 2026. The threshold falls to £30,000 from April 2027 and is due to fall to £20,000 from April 2028. The MTD guide for sole traders explains what changes. Because this template already uses HMRC’s categories, moving your figures into quarterly updates needs no recoding. To upload records to aligned.tax, save them as an .xlsx file.

Profit and Loss Template for the Self-Employed (UK): FAQs

Is this profit and loss template free?

Yes. It is free to download; you just enter your email address to get the Excel file.

What expense categories should a sole trader use?

Use HMRC's self-employment categories, the same ones on the tax return and in MTD quarterly updates. This template lists all 15, from 'Cost of goods bought for resale or goods used' to 'Other business expenses'.

What is the difference between net profit and adjusted profit?

Net profit is income less every business cost you recorded. Adjusted profit for tax adds back costs HMRC does not allow, such as entertainment, depreciation and private use, then takes off capital allowances. Your tax and Class 4 National Insurance are worked out on the adjusted figure.

What Class 4 National Insurance rates does it use?

For 2024/25, 2025/26 and 2026/27 the template uses 6% on profits between £12,570 and £50,270 and 2% above £50,270, from gov.uk. The rates sit in a labelled table, so you can update them if they change.

Can I use this for MTD for Income Tax?

The categories match the ones MTD quarterly updates use, so your totals line up. The quarterly updates themselves must be sent through compatible software such as aligned.tax.
